User Experience

When I set up my Proton Calendar, I had a very specific use-case in mind. I started with the web browser version for populating the calendar. I imported .ics files for my existing work and personal calendars. Each calendar became its own new calendar inside Proton Calendar. Then, I made a third calendar to record my dad’s PT appointments. This made it possible for me to see how all the appointments lined up without any overlap or confusion.

After I had all the events set up, I moved over to the Mac App, which is part of Proton Mail. I didn’t have any issues with syncing between the different versions. Everything transferred over exactly how I expected. The Mac App works similarly to Apple Calendar, but it’s better. Honestly, Proton Calendar feels like a combination between Outlook, Apple Calendar, and Google Calendar—wrapped in a privacy-first package. It has the flexibility and polish of the mainstream options, but without the distractions or data concerns.

The iOS app mirrors the desktop experience beautifully. I have full functionality and a clean layout with fast sync that gives Proton Calendar a native, polished feel. Whether I’m adding appointments from my phone or checking my schedule on the go, everything stays up-to-date across devices. The reminder system works exactly as I need it to—notifications come through reliably on both desktop and mobile, and you have full control over how you want to be reminded. You can receive a pop-up notification, an email, or both. At first, I had both options turned on, but I quickly realized that getting email reminders for everything became overwhelming. Turning off email reminders gave me the balance I needed.

Each calendar has its own color that you can select, and it makes a big difference. With just a glance, I know whether something is work-related, personal, or related to my dad’s physical therapy. It gives a visual clarity that helps me mentally segment my day. When events pass, they fade to a light gray while upcoming events stay bold and colorful. It’s a subtle touch, but it really keeps the most relevant information front and center without cluttering the view.

Another small but meaningful detail is how lightweight and fast everything feels. There’s no lag, no pop-ups, and no junk getting in the way.
