Streamlined Task Management with Checkful
Throughout my adult life I’ve had to manage lists for all my day-to-day activites. Some lists are simple like a grocery list, but others are complex and require multiple steps to complete. At one point, I started looking into a project management app to organize it all. I thought that there had to be something between a simple reminder list and those complicated applications. Not too long ago, I was introduced to Checkful, a recurring checklist, which seemed to fit my needs.

According to the App Store, Checkful is designed for iPad and iPhone and the website’s product page shows that it was written using SwiftUI. The app does run on macOS, but it’s the iPad version of the app. The information in the App Store also shows that it’s compatible with visionOS.

User Experience
One of the things I really like about this developer is how he tries to make things as easy as possible for the user. When you start the app, there is a very brief walkthrough of the features of the app and then you are taken directly to the Checklist screen. The apps is broken into three main areas — Checklists, Events, and Collections. You can organize your tasks in a couple of different ways.
Create checklists. Create events and then create checklists (or add already created checklists) to the event.The Collections option basically applies a tag to a checklist that can then be used to filter lists on the main checklist screen. A checklist can be standalone, part of a collection, and part of an event.
As I mentioned above, while the app works on macOS, it’s not natively built for that operating system (as best as I can tell). I started my checklists on the Mac version of the app and then realized that the experience was much better on iOS. As you might imagine, I have several recurring tasks every day. I usually manage these in Reminders and just set up a repeat reminder. To try out Checkful, I decided to migrate one of those lists over to the app.
I set up a checklist for “Sponsorship” tasks and started managing them inside Checkful. The UI of the app is stunning. It’s very clean and there are a lot of little touches that the developer adds that make it well-worth the switch from Reminders. Each checklist can have its own color and there are options for changing icons on tasks. You can dictate how many times the task recurs and then just start using it. Checkful even includes templates for some most-used types of lists (i.e. travel, grocery, etc.).
Since my test checklist was meant to be daily tasks, what I did was mark items off as I completed them and then reset the list the next morning before I started my day. Users to have to manually reset the checklist. I would love to see a setting option for the list to automatically reset after a set period of time. That would add to the productive nature of the app in my opinion.
Once I had a checklist set up, I decided to add it to an event. This process was very simple. You create the event in the Events section and then add or create checklists on it. This is very helpful for event planning, but it would be nice if you could add the checklist to the event from the Checklist menu. This isn’t a dealbreaker to me, but would be a nice improvement and make it all feel more fluid.
Also, the Events don’t sync to the Calendar app and it doesn’t seem that you can assign a task to a specific day/time — only to the main Event. So, if I was planning an event and certain tasks had specific due dates, each task would have to be on a separate checklist and then tied to an event in order to have a date/time assigned to it. Hopefully, this is changed in the future.
It’s really nice that the app syncs using iCloud, but it seems to be a bit temperamental. I’ve noticed that unless I force-quit the app or select to manually sync the app, it doesn’t always sync across devices. I have also lost data completing this syncing process. When I was initially setting the app up, I had a checklist entered in the iOS app, but nothing was appearing in the iPad app. So, I tapped the manual sync option in the app settings on the iPad. This caused the iOS version to grab the data from the iPad, which was empty. So, I had to start over. Does the iCloud syncing option work? Yes, but I think it might need some refinements.
One other issue I ran into was lack of available information. The app does have a website and the developer does list the different channels available to reach him, but information about Checkful seems to be sparse. As I mentioned, the App Store mentions the macOS and visionOS versions of the app, but the website doesn’t mention it at all. Seeing this updated with maybe a product roadmap would be a very nice resource for users to have.
Conclusion
Overall, Checkful is a very nice app that provides an intuitive method for organizing tasks and checklists. Its user-friendly interface and customization options make it a valuable tool for those seeking something more dynamic than a basic reminder list but less complex than traditional project management software. While the app excels in functionality with its customizable checklists, reusable templates, and iCloud sync, there are some areas for improvement—such as enhanced automation for resetting lists, calendar integration, and more robust syncing.
Despite these minor setbacks, Checkful stands out as an excellent choice for those looking to simplify task management without sacrificing control or personalization. Its developer’s commitment to creating thoughtful and functional apps is evident, making Checkful a promising tool for increasing productivity and reducing the mental load of managing daily responsibilities.
